Advisor Assistant Overview

The Advisor Assistant is a built-in feature, utilising AI to automatically record and transcribe meetings held within The Gap. It streamlines documentation, allowing advisors to focus on conversations while ensuring accurate and structured meeting notes.


Key Features

  • Automated Transcription – Captures and transcribes online meeting conversations in real time.
  • Meeting Summaries – Generates structured notes to highlight key points, action items, and decisions.
  • Secure & Compliant – Data is processed securely using Recall.ai, adhering to our privacy and security policies.
  • Platform-Exclusive – Only available for meetings conducted within The Gap.


Supported Meeting Platforms

The Advisor Assistant currently supports online meetings held via:

  • Google Meet
  • Microsoft Teams
  • Zoom

It does not support in-person meetings or other video conferencing platforms at this time.


Security and Privacy

  • The Advisor Assistant should not be used to record sensitive or legally privileged discussions.
  • Users should ensure compliance with privacy laws by obtaining consent from all meeting participants before using the feature.
  • Notes generated by the Advisor Assistant are stored securely and accessible only within The Gap.


Using the Advisor Assistant

To invite the Advisor Assistant to transcribe your online meeting:

  1. Open the delivery workspace in your open work item.
  2. Open the 'Advisor Assistant' tool using the menu above the right hand panel.
  3. Copy your online meeting invite link from your chosen meeting platform (e.g., Google Meet or Microsoft Teams). 

  4. Paste the meeting Invite Link into the Meeting URL field on the right panel displaying the Advisor Assistant
  5. Press Join and the Advisor Assistant's notetaker will join your meeting
  6. At the end of the call, everyone can leave the call and the transcript and summary notes will come into your delivery workspace automatically

Note

To copy a meeting link for:
  • Microsoft Teams: Right click on the relevant meeting in your Teams calendar, and select Copy link

  • Google Meet: Open the event in Google Calendar, click Invite via link and select Copy link

Using with Zoom

Installation

No installation is required.

To invite the Advisor Assistant to transcribe your online meeting:

  1. Open the delivery workspace in your open work item.
  2. Open the 'Advisor Assistant' tool using the menu above the right hand panel.
  3. Copy your Zoom invite link. To do this open the meeting invitation or the meeting details page in the Zoom app or Zoom web portal, and locate the Zoom meeting link, then right-click the link and select Copy link address.​
  4. Paste the Zoom invite link into the Meeting URL field on the right panel displaying the Advisor Assistant
  5. Press Join and the Advisor Assistant's notetaker will join your Zoom meeting
  6. At the end of the call, everyone can leave the Zoom call and the transcript and summary notes will come into your delivery workspace automatically

    A: While the Advisor Assistant strives for high accuracy, it's important to note that it's currently in beta. The accuracy may vary depending on factors such as audio quality and meeting complexity. We're continuously working to improve its performance.

    Q: Is the meeting data secure?

    A: Yes, we take data security seriously. All meeting data is processed within our secure environment and is not shared with external parties.

    Q: How can users provide feedback on the Advisor Assistant?

    A: Users can provide feedback through this survey link.

    Q: Can the Advisor Assistant work for any meeting?

    A: Yes. It has the same context as the user in the meeting, all of the meeting structure and notes, plus the conversation, and instructions for how to match the two. It is possible for the content team to improve these results using custom prompting in meetings.

    Q: How can I get the best results from the Advisor Assistant?

    A: Ideally, everyone should be on their own device with their own microphone open. Where possible, each person’s name on the call should be that person’s name. The Advisor Assistant knows who is talking primarily based on which device it is coming from and doesn’t split out voices on the same connection.
