Pre-work

Pre-work lets you send your clients a short questionnaire before the meeting to gather key information in advance. Their responses are surfaced directly in the meeting workspace, and the Strategist agent automatically summarises them so you're prepared before the conversation even starts.

Pre-work is managed from the right-hand panel in Meet mode. Click Send Pre-work to open the pre-work modal, where you can choose your template, preview and edit it, and send it to your clients — all in one place.


Choosing a pre-work template

Inside the pre-work modal, the relevant Gap default template for your meeting type is pre-selected, with a preview of the questionnaire shown.

To use a different template, click the dropdown at the top of the modal. You'll see your team's custom templates listed first, followed by all Gap default templates. Selecting a new template updates the preview immediately.

To edit the selected template before sending, click the Edit button next to the preview. You can add, remove, or amend any content, then click Save to commit your changes. Edits apply to this meeting only — they don't change the underlying template.

Sending pre-work

Below the template preview in the same modal, you'll find the sending options:

  1. Select recipients — click into the Send to field to see all contacts saved against this client. You can select as many as you like. If you need to add someone new, click Create Contact, enter their details, and they'll be added to the client record and available for selection immediately.

  2. Write a message (optional) — add a personal note that will be included in the notification email.

  3. Attach files and links (optional) — upload any supporting files or paste links. These will be included in the notification email and available for download when the recipient opens the pre-work form.

  4. Set a due date — choose when you'd like the pre-work completed by.

  5. Set a reminder — choose whether to send an automatic email reminder if the pre-work hasn't been completed. Options are: no reminder, or a reminder 1, 2, or 3 days before the due date (sent at 9am).

  6. Click Send to deliver the notification.

If you'd prefer to send the pre-work yourself rather than through the app, click Copy Link at the bottom of the send modal. This gives you a URL you can paste into your own email or message.

When recipients open the link, they'll be prompted to enter their email address, verify it, and provide their name before completing the form.


Tracking responses

Once pre-work has been sent, the right-hand panel shows an overview of who it's been sent to and whether they've completed it.

You can send pre-work to additional people at any time by clicking back into the send modal and adding more recipients.


Pre-work summaries (The Strategist)

As responses come in, The Gap's Strategist agent reads each one and generates a summary of the key themes, priorities, and focus areas across all responses.

The summary updates automatically with each new response, so if you're still waiting on some clients, you'll see a progressively richer picture as responses arrive.

The pre-work summary and individual responses are available in the right-hand panel in both Meet mode and Review mode — and they're used as inputs when the Producer generates your deliverables after the meeting.


Good to know

  • Pre-work is optional — you can run a meeting without sending any pre-work.
  • Edits are per-meeting — editing a pre-work template from within a meeting only changes it for that meeting. To change the underlying template for future meetings, use the Document Templates area (see Meeting Templates).
  • Recipients don't need an account — your clients receive an email or link and complete the form in their browser. No sign-up required.
  • The summary improves as responses arrive — you don't need to wait for everyone to respond before reviewing what's come in. The Strategist updates the summary with each new response.
