Using The Gap's workflow templates in AccountKit

​​​​​AccountKit's workflow tool allows you to import pre-built task templates directly from the AccountKit library - including a range of templates authored by The Gap. These templates are designed to map directly to The Gap's advisory services, so you can manage the operational side of your advisory work in AccountKit while delivering meetings through The Gap.

This guide walks you through how to locate, import, and set up The Gap's templates in AccountKit.


Step 1. Access the workflow templates library

  1. Log in to AccountKit.
  2. Navigate to Administration > Workflow in the main menu.
  3. Head to the Templates view.
  4. Click the ‘+’ button in the top header.
  5. Select From AccountKit Library.

This is where you can manage your existing templates and import new ones from the template library.


Step 2. Find The Gap's templates

  1. In the library search or filter, search for The Gap to locate The Gap's authored templates.
  2. Review the list of available templates.

Step 3. Import a template

  1. Select the template you want to import.
  2. Select Import.
  3. Review the template details - including the task list and any embedded work instructions - before making changes.

Step 4. Customise the template for your practice

Once imported, you can tailor each template to suit how your practice works:

  • Edit task names and descriptions to match your internal language
  • Assign user roles using AccountKit's role placeholder functionality, so tasks are automatically assigned when a job is created
  • Add or remove tasks from the task list to reflect your delivery process
  • Update or add work instructions within individual tasks to guide team members through each step

When you are ready to use the template for live jobs, click Set to Active.


Step 5. Create a job from the template

Once your template is active, you can create recurring or one-off jobs from it:

  1. Navigate to AccountKit workflow or create a new task from the template within your email browser using the AccountKit extension (Gmail/Outlook).
  2. Select Create task (or use the task creation shortcut available across AccountKit's tools).
  3. Select your imported Gap template as the starting point.
  4. Set the job details - assignees, due dates, and recurrence if applicable.

Your team will then see the job in their workflow views and daily plan, with all task steps and work instructions available in context. Or better yet, set up a workflow automation to have your meetings populate on a regular basis!
