Meeting defaults

Meeting defaults let you set your firm's preferred templates for each meeting type, so the right agenda, pre-work, and message load automatically every time someone creates that type of meeting. Set them once, and your whole team gets a consistent starting point — no need to swap templates manually each time.

Meeting defaults are managed from the main menu → Templates → Meetings.


How meeting defaults work

The Meetings area lists all of The Gap's services (meeting types) — for example, Accountability Coaching, Annual Accounts Review, Annual Forecast, Business Planning, Cashflow & Profit Improvement Meeting, Complimentary Client Review, and more.

For each service, you can set a default:

  • Agenda — the delivery template that loads as the agenda
  • Pre-work — the pre-work template that's pre-selected when sending pre-work
  • Message — the message template included when sending pre-work

Out of the box, every service uses The Gap's default templates. Setting your own defaults replaces these with the templates your firm prefers.

These defaults apply firm-wide. Once set, the next time anyone in your organisation creates a meeting of that type, your chosen templates load automatically.


Setting defaults for a service

  1. In the Meetings area, click the service you want to configure. A Set default for [service] modal opens.
  2. Use the Agenda dropdown to choose the default agenda (delivery) template. It defaults to the relevant Gap template, but you can select any other Gap template or any custom template your team has created.
  3. Use the Pre-work dropdown to choose the default pre-work template.
  4. Use the Message dropdown to choose the default pre-work message template.
  5. Click Save.

The defaults take effect immediately for all new meetings of that type across your organisation.

Default settings pre-fill or pre-select content for all new meetings. The content can still be overwritten at the time of use — see below.


Creating a template you don't have yet

If the template you want to set as a default doesn't exist yet, each dropdown includes a shortcut at the bottom of the list:

  • Go to document templates — for the agenda and pre-work dropdowns
  • Go to message templates — for the message dropdown

Click the shortcut to jump to the relevant creation area, build and publish your template, then navigate back to the Meetings area to select it.

Defaults are a starting point, not a lock

Setting a default doesn't restrict what happens in an individual meeting. When you create a meeting, you can still:

  • Edit or swap the pre-work before sending
  • Edit the agenda for that meeting or change to a different template entirely

Meeting defaults simply set the firm-wide starting point so your team isn't reconfiguring the same templates every time. Anything can be overridden in the moment.


Finding services

The Meetings table shows each service's name and a Defaults column indicating whether it's using Gap defaults or custom defaults you've selected. Use the search field to quickly find a specific service.


Good to know

  • Defaults are global — they apply to everyone in your organisation, not just you. Changing a default affects how meetings load for your whole team.
  • Per-meeting edits don't change the default — editing the agenda, pre-work, or message within a meeting only affects that meeting. To change the firm-wide starting point, update the default here.
  • You can mix Gap and custom templates — for any service, you might use a custom agenda but keep the Gap default pre-work, for example. Each of the three defaults is set independently.
