Message templates

Message templates let you save reusable messages for sending pre-work, so you don't have to write the same note from scratch every time. When you send pre-work from the meeting workspace, you can select one of your saved message templates to populate the message automatically.

Message templates are managed from the main menu → Templates → Messages.


Creating a message template

Click New message (top right of the Messages area). A modal opens where you can build your template:

  • Name — give your template a name so you can find it later. This is for your reference only and isn't shown to recipients.
  • Message — write the message you want to send. As you type, a live Preview on the right shows how the message will appear to recipients.

Click Save to publish the template. It will appear in the Messages table and become available for selection when sending pre-work.


Merge fields

Merge fields automatically insert details into your message when it's sent, so a single template works across all your clients. There are currently two available:

  • {{clientName}} — the client's organisation name. For example, "Hi {{clientName}}," becomes "Hi Acme Accounting,".
  • {{advisorFirstName}} — the first name of the person sending the pre-work.

Type the merge field exactly as shown (including the double curly braces) and it will be replaced with the real value when the message is sent. The preview pane shows an example of how each merge field will resolve.

Important: {{advisorFirstName}} populates with the name of the person sending the pre-work, not the Lead Advisor. If an admin or team member sends pre-work on behalf of an advisor, the message will show the sender's name. Keep this in mind if someone other than the advisor is sending pre-work on their behalf.


Using a message template when sending pre-work

When you send pre-work from the meeting workspace, you'll see a Select a saved message dropdown listing all your saved message templates. Choose one and the message field populates automatically with that template's content, merge fields included.

You can still edit the message for that specific send if you want to tweak it — selecting a template just saves you starting from a blank message each time.

Managing message templates

The Messages table lists each template with its name and last updated date and time. From here you can:

  • Search — use the search field to quickly find a template by name.
  • Duplicate — open the ⋮ menu on a template and select Duplicate to create a new template based on an existing one.
  • Delete — open the ⋮ menu and select Delete to remove a template.

Good to know

  • Message templates are for the meeting workspace only — they're used when sending pre-work from a meeting, and aren't available for Work Items.
  • Editing a message at send time is per-meeting — tweaking the message when you send pre-work doesn't change the underlying template.
  • More merge fields are coming — additional variables will be added over time to give you more flexibility.
