Document Templates

Overview

The Document Templates area is where you create, edit, and manage the templates used for pre-work, delivery, and feedback.
To find it, go to Main Menu > Document Templates.

Key features:
  1. Status tabs: Document templates are separated into two groups:
    1. Templates: all published and draft versions
    2. Archive: all inactive versions
  2. Filter: By document type, including pre-work, delivery and feedback

Creating & Editing Document Templates

  1. Click Create template.
  2. Choose from:
    1. The Gap's standard templates
    2. Any Team Templates you have previously created or saved
  3. Rename the document template with a clear title (this will be visible to clients for pre-work or feedback).
  4. Edit the template as needed.

Note
  1. Use the ellipses menu (…) to edit, duplicate, or archive a published template.
  2. Archived templates can be reactivated from the Archive tab.
  3. Use the arrows to collapse and expand sections
  4. Changes save automatically
  5. Templates remain in Draft until you publish or archive them

Pre-work & Feedback

  1.  You can:
    1. Amend the wording in questions, descriptions and sections
    2. Add or remove questions  + Add question or the trash icon
    3. Add or remove sections by clicking on + Add section or the trash icon
    4. Change question types by clicking the dropdown box
  2. When ready, click Publish to make your template available for use in any work item.

Delivery

When you edit a meeting template, you’re customising three key areas of how your meeting will run and what gets captured.

The Workspace

Your meeting template populates the meeting workspace.
  • Left panel: Agenda items (sections) with time estimates
  • Centre panel:
    • All blocks show talking points to guide the meeting.
    • Question blocks: Capture responses for the Session Record.
    • Content blocks: Show information only, such as text and images
    • Smartblocks: Capture responses for both the Session Record and Business Plan.
    • Tip: If you share your screen with clients during meetings, keep all centre panel content client-friendly
  • Right panel: Private delivery notes (can also open in a separate tab). This panel also includes Additional Notes and Additional Actions by default.

The Business Plan output (where applicable)

When a meeting template includes Business Plan smartblocks, any responses recorded in a Business Planning meeting are used to build the Business Plan.

These smartblocks can also be used in other meetings, and past responses will carry over to review and update.

Note: Your client will be notified when their Business Plan is created, or anytime it's updated using smartblocks.

Smart blocks

The Business Plan template is fixed. Any smartblock customisations you make will appear during meeting delivery, but won't alter the Business Plan itself. If you would like to suggest a change, please submit it to The Gap to review.
Recommended use: Include Business Plan smartblocks only for coaching or business planning services.
Caution: Deleting a Business Plan smartblock from the Business Planning Meeting Template will leave the block title in the Business Plan output.
If a delivery document contains a smartblock and the client has a Business Plan work item, they’ll be notified once the document is finalised.

Session outputs

A Session Record is created automatically for every meeting. It captures:

  • All responses entered during the meeting
  • Any additional notes or actions

In Summary

  • Questions & Content blocks:
    • Provide the talking points to guide the meeting in the workspace
    • Responses appear in the Session Record.
  • Smartblocks:
    • Provide the talking points to guide the meeting in the workspace
    • Responses appear in both the Session Record and the Business Plan.
